Finance Privacy Notice
Birmingham Children’s Trust (the Trust) collects, holds and processes a considerable amount of information, including personal data about the citizens of Birmingham and those that use our services, website visitors, and employees. The Trust is fully committed to complying with Data Protection Act 2018 legislation, including the UK General Data Protection Regulation (GDPR), which regulates how we process personal information.
This privacy notice explains how we collect and use personal data, tells you about your rights, and gives contact details for help and advice.
Information held about you
The finance team is responsible for the accurate maintenance and providing support for forecasting and financial management on behalf of Birmingham Children’s Trust.
To provide accurate and effective financial services for the Trust, it is necessary to have access to and hold personal information. This personal information may include:
- Name, address, telephone number and email address
- Bank details
- Details of payments made to you by Birmingham Children’s Trust
- Details of monies you owe to Birmingham Children’s Trust
Who is processing your data
All personal data held, is processed in accordance with data protection law. The data controller for the information outlined in this privacy notice is Birmingham Children’s Trust.
BCT Finance Team and Birmingham City Council (part of the Service Level Agreement) are the data processors who will process your information on behalf of the Trust.
How we will use the information we hold about you
We will collect information about you (where applicable) to:
- Deliver accurate and effective financial advice and support on behalf of Birmingham Children’s Trust
- Monitor the income and expenditure of Birmingham Children’s Trust
How the law allows us to use your information
The legal basis for processing the data is:
- Carrying out of a contract to which you are a party
- Financial management legislation and taxation
Who we will share your information with
The information that we hold may be shared in part with:
- HMRC
- Birmingham City Council (part of the Service Level Agreement)
On occasions your information may be accessed by contracted ICT support organisations in the delivery of ICT support for both the ICT infrastructure and associated systems. Access by ICT support will only be for such reasons as fixing any technical software issues and any viewing of data will be incidental to this.
We will not share your information with organisations other than our partner organisations without your consent. However, there may be certain circumstances where we would share without consent such as where we are required to do so by law, to safeguard public safety, and in risk of harm or emergency situations. We will only share the minimum information for the purpose, on a need-to-know basis and with appropriate individuals.
How long we keep your personal information
We will only keep your information for the minimum period necessary. All information will be held securely in accordance with Trust policy on retention periods for personal information and destroyed under confidential conditions.
Your rights
Under UK GDPR you have rights which you can exercise free of charge which allow you to:
- Know what we are doing with your information and why we are doing it
- Ask to see what information we hold about you (subject access request)
- Ask us to correct any mistakes in the information we hold about you
- Object to direct marketing
- Make a complaint to the Information Commissioners Office
- Withdraw consent at any time (if applicable)
Depending on our reason for using your information you may also be entitled to:
- Ask us to delete information we hold about you
- Have your information transferred electronically to yourself or to another organisation
- Object to decisions being made that significantly affect you
- Object to how we are using your information
- Stop us using your information in certain ways
We will always seek to comply with your request however we may be required to hold or use your information to comply with legal duties. Please note, your request may delay or prevent us delivering a service to you.
